MMP Consultancy are looking to recruitan Executive Assistant / Office Manager to join a  public sector organisation based in London.

 

The Executive Assistant / Office Managerwill be responsible for providing efficient and professional secretarial andadmin support to the Executive Director, supporting on a wide-range ofconfidential and business critical issues. This will include assisting withgovernance, facilities management and leading on Office Management.

 

Candidates will be enthusiastic andexperienced professionals with exceptional administrative and secretarial skills.You will be responsible for handling sensitive information, producingdocuments, briefing papers, report writing and presentations at the instructionof the Director.

 

Responsibilities:

The Executive Assistant /Office Manager will be responsible for supporting the Executive Director with preparationof correspondence and reports, diary and time management, collation andanalysis of statistical data

Co-ordinateand support project activity as required (including business change) providingadministrative support and diary management for project matters as required.

Organisemeetings and provide the appropriate administrative support, this would include

minutestaking, drafting of agendas and distribution of action points etc.

Processinvoices, procurement requests and other financial transactions, maintain,collate and report on departmental budgets for the information of the ExecutiveDirector and SLT.

Maintainhigh levels of sensitivity in relation to personal, confidential and sensitiveissues

Maintain anddevelop office management and admin systems

Support deliveryof excellence in governance by ensuring activities of the business are carriedout to the highest standards

Assist withcoordination of company secretarial activities including assisting withcorporate filings

                  

Ideal Qualities:

Experience of carrying out an ExecutiveAssistant role in supporting one or multiple Directors

Previous Office Management experience

Excellent administrative and secretarialskills including arranging and minuting meetings  

Strong minute taking skills

Experience within providing governancesupport

Strong IT skills, Microsoft packagesincluding MS Project and financial/reporting databases

First classtime management skills, the ability to prioritise and delegate (often to moresenior colleagues).

Strongcommunication skills, experience of managing senior internal and externalstakeholders.

 

Due to the nature of the role, theExecutive Assistant / Office Manager will be required to work in the office 4-5days per week.
